Gmail connection is optional and is available only to authorized HolidayOS workspace managers. This guide explains what the connection does and how to control or delete the resulting data.
What HolidayOS accesses
After you approve Google's consent screen, HolidayOS can access the connected mailbox address and Gmail Inbox message bodies, headers, attachments, thread identifiers, and labels. HolidayOS does not request permission to permanently delete Gmail messages or change Gmail account settings.
How the data is used
HolidayOS imports the recent Inbox conversations you select, keeps new enquiries synchronized with your tenant-scoped CRM, displays those conversations to authorized workspace members, marks messages read when they are opened in HolidayOS, and sends replies that a workspace member explicitly composes. HolidayOS does not send unsolicited bulk mail using the connection.
AI features
Gmail is not automatically sent to an AI provider during mailbox intake. If you deliberately start an AI feature using an imported enquiry, the relevant text may be sent to a provider identified in our Privacy Policy solely to generate the output you requested. Google user data is not used to train or improve a generalized or shared AI model.
Disconnect Gmail
In HolidayOS, open Settings, select Connect, find the mailbox, and choose Disconnect and keep HolidayOS copies. HolidayOS revokes the Google authorization and removes its stored OAuth connection, which stops all future mailbox access and synchronization. Messages and attachments already imported into HolidayOS remain available in HolidayOS. Nothing is deleted from your Gmail account, and the removed inbox no longer appears as an incomplete connection in HolidayOS. You can also revoke HolidayOS from the third-party access page in your Google Account.
Delete Gmail copies stored in HolidayOS
From the same connection dialog, choose Disconnect and delete HolidayOS copies. HolidayOS first shows a preview, then deletes the imported message content and attachments stored in HolidayOS, along with copied source notes and connection metadata. This does not delete or change any email, attachment, label, or folder in Gmail. Manually enriched leads, trips, proposals, tasks, and other CRM work are retained. The dialog lists what will be deleted from HolidayOS and what will remain before confirmation.
Export or complete deletion
For an export, deletion of retained CRM records, or complete account deletion, email hello@holidayos.ai from your workspace-owner address. We will verify the request and respond within 30 days. Live-system deletion is followed by removal from backups on the documented backup-rotation schedule.
